Archives appointment procedures

The Archives and Rare Books collections are open by appointment. We understand that not all researchers may feel comfortable with doing on-site research. Please contact us if you have any concerns or wish to explore other methods of access to the collections such as videoconferencing.

Please contact us as far in advance of your intended research visit as possible.  All regular researcher requirements remain in effect. For our appointment availability (subject to change) for the next two months, please see our appointment calendar.

Scheduling appointments:

  • Appointments will be for up to 7.5 hours, between 9 am and 4:00 pm, Monday through Friday. We may be able to offer limited appointments outside of those hours dependent on staff availability and library hours.   • Please contact us at least a day in advance of a requested appointment and earlier, if at all possible. We will do what we can to accommodate your appointment scheduling preferences.
  • We will be open to walk-ins during hours in which we have scheduled appointments. Walk-in visits are available to the public and visiting researchers as well as students, faculty, and staff of APU and UA. Walk-in availability may be subject to capacity, time limitations, or last minute closures.
  • Researchers needing accessibility accommodations should consult with the archivists while making an appointment.
  • In order to maximize your time with collections while in the Archives, if you know what materials you would like to look at, please include those with your request. If you would like to consult with us about what materials might be relevant to your research, we will set up a time in advance of your appointment to speak with you either by phone or videoconference for that conversation.
  • In your appointment request, please include your name, email address, phone number, mailing address, and topic of research so we can prepare your researcher registration form to be signed in advance of your visit via DocuSign.
  • If you do not have email or web access, you are welcome to call our office at 907-786-1849. If we do not answer, please leave a voice mail message with call back information. We check our voicemail at least once a day M-F and will return your call as quickly as we can.

Day of appointment information:

  • Please arrive at the time of or within 15 minutes after the start time of your appointment. If you will be more than 15 minutes late, please call or email to let us know. If you need to cancel and/or reschedule, please let us know as soon as possible.
  • If you have not arrived for your appointment or contacted us to let us know you are running late within 1 hour of the start time of your appointment, we may cancel the appointment. You will need to contact us to reschedule for a later date.
  • Parking permits are required on campus during the 2022-2023 academic year, Mondays through Thursdays. Parking is free on Fridays. Passes can be purchased through the app listed on signs through the parking lots, a pay and park machine is also available in the main library lot. Parking is $2.00 per hour or $10 per day. Fire lanes, loading zones and ADA parking are enforced as marked.
  • We cannot provide access to Consortium Library resources that are not part of the Archives or Rare Books collections during these appointments. For access to other materials held in the Consortium Library, please contact the main Library Research desk for assistance.
  • Researchers must work with materials at locations in the Archives designated by the archivists.
  • Researchers will wash hands in one of the restrooms on the third floor before entering the Archives. Hand sanitizer and hand lotions cannot be used immediately prior to contact with archival materials or Rare Books. Gloves cannot be used with most archival materials or Rare Books. Cotton gloves will be provided by the archives for handling unenclosed photographic materials as necessary.
  • We encourage researchers to bring point-and-shoot cameras or smart phones to take quick snapshots of materials for reference purposes. More details: researcher photography standards
